Find And Replace in Transcriptions
The Global Replace Settings page, accessible via the Settings section of MacWhisper, allows you to define custom word or phrase replacements that will be applied automatically to all new transcriptions.
This is especially helpful for correcting consistent transcription errors, replacing sensitive names with pseudonyms, or standardizing formatting (e.g., changing “OK” to “Okay”).
Find and Replace features
Add Replacement Pairs
Add a new replacement by clicking the plus button in the top-right corner of the Replacements section. Each entry consists of an “Original” string and a “Replacement” string.
You can add as many replacement rules as you need.
Edit and Remove Replacements
Each row allows you to:
- Modify the original and replacement text
- Remove the replacement using the trash icon
Filter Replacements
Use the search bar at the top to filter replacements by original or replacement string. This is useful when managing a large list.
Match Settings
There are two options for how replacements are matched:
Case Sensitive
When enabled, replacements will only occur if the casing matches (e.g., “You” is not the same as “you”).
Only Replace Separate Words
Enable this to restrict replacements to full words only. Disable it if you want matches inside other words (useful for languages that don’t use spaces between words).
Import and Export
Import List
Click “Import List” to load a JSON file containing replacement items. This is helpful if you’re switching devices or sharing a list with a team.
Export List
If you have replacements set up, you can export them using the “Export List” button. This saves the list to a JSON file you can back up or share.
Remove All
To clear your replacement list entirely, click “Remove All”. This will delete all entries in your list.
Example Use Cases
Here are some common ways people use Global Replace:
Correcting Common Transcription Errors
Automatically replace frequently misheard words (e.g., “Mac whisper” → “MacWhisper”).
Anonymizing Names
Replace real names with pseudonyms for privacy before sharing transcripts.
Formatting Cleanup
Standardize variations of terms, e.g., “OK” → “Okay” or “e-mail” → “email”.
Language Tweaks
Replace English phrases with local equivalents for region-specific formatting.
Notes
- Replacements currently apply to all new transcriptions.
- If “Only Replace Separate Words” is turned off, partial matches will be replaced as well (e.g., replacing “you” will affect “your”).
- All changes take effect immediately and apply only to future transcripts.
